    When people hear 'AI tools', they often picture something complicated and expensive that only big companies in Kuala Lumpur or Singapore can afford. That is not the case anymore. Some of the most useful AI tools today are simple, affordable, and perfect for a small business right here in Sabah, whether you run a cafe in Kota Kinabalu, a tour company in Sandakan, or a small trading office in Penampang.

    I am not interested in tools that just sound impressive. I want tools that save you time, save you money, and that a normal staff member can learn in an afternoon. So here are five I genuinely recommend keeping on your radar in 2026, with a concrete example of how a small business can use each one.

    1. A general AI assistant (ChatGPT or Claude)

    Every business should have at least one general AI assistant, and the two big names are ChatGPT (by OpenAI) and Claude (by Anthropic). Think of these as a smart helper you can chat with in plain language. You ask, it responds. They can write, summarise, brainstorm, translate, explain things, and help you think through a problem. ChatGPT is a great flexible all-rounder; Claude is especially comfortable with longer documents and careful, natural writing. Both keep improving quickly, so you really cannot go wrong starting with either.

    Small-business use case: A restaurant owner uses it every morning to write that day's social media caption, reply politely to a tricky customer review, and draft a WhatsApp broadcast for the weekend promotion, all in about ten minutes instead of an hour.

    2. NotebookLM: turn your own documents into a Q&A knowledge base

    NotebookLM, from Google, is one of my favourite tools to show business owners, because it solves a problem every company has: nobody can remember what is in all those documents. You upload your own files, such as your SOPs, your product catalogue, your staff handbook, your past quotations, and NotebookLM lets you ask questions and get answers based only on those documents. It will even point you back to where the answer came from, so you can trust it.

    Small-business use case: A tour operator uploads all their package details, pricing sheets, and frequently asked questions. Now any staff member can type 'What is included in the 3-day Kinabalu package?' and get an instant, accurate answer pulled straight from the company's own files, instead of interrupting a senior colleague.

    3. Gamma: fast, good-looking presentations

    Making slides is one of those tasks that quietly eats up half a day. Gamma is an AI tool that helps you create presentations quickly. You give it your topic or your rough points, and it generates a clean, professional-looking deck that you can then edit and adjust. It takes a lot of the fiddly design work off your plate, which is a relief if you are not a designer and do not want to wrestle with PowerPoint.

    Small-business use case: A training consultant needs to pitch a corporate client tomorrow. Instead of spending the whole evening building slides from scratch, she drafts the outline, lets Gamma turn it into a polished deck, and spends her time refining the message and rehearsing instead.

    4. An AI image or video tool for marketing visuals

    Good marketing visuals used to mean hiring a designer or a videographer. AI image and video tools have changed that. On the image side, tools built into the major AI assistants can generate or edit pictures for your posts and ads. On the video side, tools such as Google's Veo can create short video clips from a simple text description. These are improving very fast, and while they will not replace a real photoshoot of your actual product, they are excellent for quick social content, mock-ups, and ideas.

    Small-business use case: A small bakery wants fresh content for Instagram but cannot afford a photographer every week. They use an AI image tool to create eye-catching themed backgrounds and festive visuals for their promotions, keeping their feed lively without blowing the budget. Just remember to keep it honest, use AI visuals for mood and marketing, not to misrepresent your actual products.

    5. An AI meeting notetaker and transcriber

    How many times has a decision been made in a meeting and then forgotten by the next week? AI transcription and notetaking tools record your meeting, turn the conversation into text, and produce a tidy summary with the key points and action items. There are several good options, including notetakers that join your video calls automatically and general transcription tools you can use for recorded audio. This is a quiet time-saver that pays off every single week.

    Small-business use case: A property agency holds a weekly team meeting. Instead of one person scrambling to take notes, an AI notetaker captures everything and sends round a clean summary with who-does-what afterwards, so nothing slips through the cracks. One quick tip: always tell people in the room that the meeting is being recorded, both out of courtesy and good practice.

    Where to start

    You do not need all five at once. Pick the one that solves your biggest headache right now. Drowning in admin and writing? Start with a general assistant. Staff always asking the same questions? Try NotebookLM. Spending too long on slides? Gamma. The goal is not to collect tools, it is to get one small win, then build from there. And remember, these tools update often, so treat this as a starting map rather than a fixed list.
